Terms and Conditions for Ride Colombo 2025

1. Introduction

1.1. These Terms and Conditions govern the entry, participation, and conduct at Ride Colombo 2025, a celebration ride held at Galle Face Green, Colombo, Sri Lanka, on March 8th, 2025, to mark International Women’s Day.

1.2. By registering for the event, participants (referred to as “you” or “Participant”) agree to be bound by these Terms and Conditions.

1.3. Ride Colombo 2025 is organized by [Across Ceylon Private Limited] (referred to as “Event Organizer”).

2. Definitions

2.1. Event: Refers to the Ride Colombo 2025 cycling event.

2.2. Participant: Any individual who has successfully registered for the Event.

2.3. Refund Period: The time frame during which Participants are eligible for a refund as per these Terms and Conditions.

2.4. Force Majeure Event: Any event beyond the reasonable control of the Event Organizer, including but not limited to natural disasters, strikes, governmental regulations, pandemics, or any other unforeseen circumstance.

3. Eligibility

3.1. Participants must know how to ride a bicycle safely and ensure their physical fitness for the event.

3.2. Participants are required to bring their own bicycles and are solely responsible for their maintenance and safety.

3.3. Participants must wear reasonable cycling gear. It is mandatory to wear a helmet and either the event-exclusive t-shirt, comfortable attire, or other appropriate cycling clothing.

3.4. The Event is open to females aged 18 and above.

4. Registration

4.1. Registration is completed through the Event’s official website or any authorized platform. Confirmation of registration will be sent via email.

4.2. Participants must provide accurate information during registration and update any changes to their contact details promptly.

4.3. Registration is considered complete only upon receipt of the confirmation email and payment of the Registration fee.

5. Event Conduct and Safety

5.1. Participants must always follow the designated cycling routes and Event Organizer’s instructions.

5.2. The Event Organizer reserves the right to disqualify Participants who fail to comply with these Terms and Conditions or whose behavior is deemed unsafe or inappropriate.

5.3. Bicycles, helmets, and any other personal belongings are the sole responsibility of the Participant. The Event Organizer is not liable for any damage, loss, or theft of personal property.

5.4. The Event Organizer encourages all Participants to adhere to road safety guidelines and respect the local environment.

6. Force Majeure and Event Changes

6.1. The Event Organizer reserves the right to postpone, cancel, or modify the Event due to a Force Majeure Event or any other reason deemed necessary for safety or operational purposes.

6.2. In the event of cancellation due to a Force Majeure Event, the Event Organizer will make reasonable efforts to reschedule the Event. Refunds may not be issued in such cases.

7. Liability and Disclaimer

7.1. Participation in the Event is at the Participant’s own risk. The Event Organizer will not be held liable for any personal injury, illness, or property damage incurred during the Event.

7.2. Participants are encouraged to seek medical advice before participating if they have any concerns about their fitness or health. Event Organizer shall not be made liable for any injuries, illnesses, or medical conditions aggravated by participating in the Event.

7.3. By participating, Participants waive any claims against the Event Organizer arising out of their participation, except in cases of gross negligence or misconduct.

8. Personal Data and Media Consent

8.1. Personal data provided during registration will be processed in accordance with applicable Sri Lankan data protection laws and used solely for Event administration.

8.2. By participating, Participants consent to the use of their names, images, and any media captured during the Event for promotional purposes by the Event Organizer or its partners.

9. General Provisions

9.1. Any disputes arising from these Terms and Conditions shall be resolved through mutual discussions among the Event Organizer and Participants amicably.

9.2. The laws of Sri Lanka govern these Terms and Conditions.

9.3. The Event Organizer reserves the right to amend these Terms and Conditions at any time. Participants are encouraged to review the Terms and Conditions periodically.

9.4. Failure to comply with these Terms and Conditions may result in disqualification and denial of entry to future events organized by the Event Organizer.
